Holy Family Hospital is seeking a Program Administrative Assistant to support operations across its long‑term care and rehabilitation programs, as well as additional long‑term care sites when required. This role provides a wide range of administrative and coordination functions that are essential to smooth program delivery.
The ideal candidate brings strong technical proficiency, including experience with word processing, databases, spreadsheets, and graphics software. You will use these tools to prepare confidential correspondence, compile and organize data, develop reports, and produce official documentation. Success in this position also requires a high level of professionalism, self‑motivation, and interpersonal communication skills. Education
High School Diploma, completion of a recognized secretarial or business program, and three (3) to five (5) years recent related experience, or equivalent combination of education, training and experience.

Your Day-To-Day
Oversees day‑to‑day operations of the Resident Care Manager's office, including managing correspondence, calls, email, bring‑forward systems, and both electronic and physical filing structures.
Supports confidential HR processes by coordinating interviews for leadership roles and preparing sensitive documentation for Program staff.
Produces reports, correspondence, presentations, newsletters, and program materials using word processing, spreadsheet, database, graphics, and diagramming software; develops tools to record, analyze, and present data.
Manages confidential communication for the Program Director and Physician Program Director, maintains on‑call rosters, distributes notices, and directs public inquiries to appropriate departments.
Coordinates meetings, seminars, and events by scheduling, preparing agendas, arranging rooms and catering, organizing materials, setting up equipment, recording minutes, and completing follow‑up actions.
Handles financial and administrative processes including cheque requests, invoices, sessional/MSP billing, supply ordering, capital equipment support, and documentation for minor capital renovations; liaises with Foundations regarding program funds.
Provides administrative and project support to program teams, including compiling information for reports and briefs, preparing statistical documents, and performing other related duties as assigned.
