The salary range for this position is CAD $27.10/Hr. - CAD $27.10/Hr.

Summary

We are seeking a detail-oriented Transcription Services Clerk to join our team. Reporting to the Regional Service Manager or designate, this role supports transcription operations by handling physician and clinic inquiries, resolving routine report transmission issues, and ensuring accurate provider and institutional data management. The Clerk monitors and updates data using the Ministry of Health’s Provider Location Registry (PLR) and related systems, ensuring accurate report distribution and data integrity. Responsibilities also include coordinating with Excelleris, performing clerical tasks such as printing, photocopying, faxing, and typing various materials in accordance with established procedures and standards.

  • Grade 12, two years' recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities

  • Knowledge of medical terminology.
  • Ability to keyboard at 50 w.p.m.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
  • Ability to organize work.
  • Ability to operate related equipment.

Your Day to Day:

  • Determines and prioritizes report status (e.g., complete, on hold, STAT) and uploads completed reports to the clinical information system.
  • Acts as the first point of contact for physicians and clinics, providing basic guidance and resolving common issues related to dictation access and passwords.
  • Notifies appropriate parties (e.g., physicians, QA analysts, M*Modal) based on report status using set communication protocols.
  • Assigns and tracks support tickets for report or system issues, ensuring timely resolution in coordination with internal teams.
  • Enters, verifies, and updates provider/institutional data in relevant databases, including validating information with physicians.
  • Uses PLR and connected systems to manage IPC codes and ensure accurate entity information across databases.
  • Validates addresses and fax numbers against external sources (e.g., College of Physicians) and updates internal records accordingly.
  • Prints, photocopies, faxes, and distributes transcribed reports and other materials; generates mailing labels as needed.
  • Tracks failed faxes, monitors Service Now tickets, and performs basic troubleshooting for dictation/transcription software.
  • Maintains supplies, performs reception duties, assists co-workers with tasks, and contributes to updates for procedural manuals.
