Lead Health Information Services at a High-Impact Site

Are you a dynamic and strategic leader with a passion for health information management? Join our collaborative team as the Manager, Records Management & Registration, and take charge of health information services at a large and complex site within one of British Columbia’s key health organizations (including FH, VCH, PHC, and PHSA). In this pivotal leadership role, you will ensure seamless operational processes, lead high-performing teams, and contribute to the continuous enhancement of patient care and service delivery.

What You Will Do:

As the Manager, Records Management & Registration, you will oversee the comprehensive, 24/7 operations of Health Information Management (HIM) Services at a major site. You will supervise a large team, providing mentorship and guidance in areas such as recruitment, performance management, and staff development. Managing human, financial, and material resources will be a core part of your role, as will collaborating with the Regional Manager and BC Cancer leadership on both short- and long-term planning. You will develop and implement policies and procedures that align with organizational and legislative requirements, liaise with medical, nursing, and external stakeholders to ensure smooth communication and alignment, and lead quality assurance initiatives to enhance service delivery and promote continuous improvement. Your role will also involve providing critical feedback into the site’s operational and capital budgeting process and championing ideas for operational enhancements. Above all, you will foster a culture of collaboration, innovation, and service excellence within BC Cancer Services.

Education & Experience:

  • Bachelor's Degree in Business Administration, Health Information Management or other related field
  • Six (6) or more years' recent, related experience in a large, complex health information management environment including three (3) years' supervisory experience or an equivalent combination of education, training and experience.

Skills And Abilities:

  • Demonstrated knowledge of health records management and registration systems, policies and procedures.
  • Demonstrated leadership, coaching, and mentoring skills to ensure a working environment that supports effective service delivery.
  • Demonstrated humility and heart-held leadership.
  • Strong interpersonal and dispute-resolution skills to effectively deal with a variety of stakeholders both internal and external to the organization.
  • Ability to communicate effectively orally and in writing at various levels of the organization.
  • Ability to organize and prioritize own work and that of others in a large-scale complex or multiple site environment with 24/7 operations.
  • Physical ability to carry out the duties of the position.

Your Day to Day:

  • Develop and implement site-specific orientation, staff development, and retention plans, while also supervising student practicums.

  • Lead development and ensure compliance with site-specific and HIM-wide policies and procedures; collaborate to maintain consistency across sites.

  • Manage relationships and communication with clinical leaders, physicians, other stakeholders, and organizational staff; escalate and resolve issues to ensure smooth service delivery.

  • Monitor site budget, track workload statistics, and optimize resource use; provide input into operational and capital planning.

  • Oversee release of information, records completion, legal case reporting, and follow-up on outstanding issues; ensure smooth record management processes.

  • Maintain master staff rotation, approve vacation and leave requests, and liaise with centralized scheduling.

  • Collaborate on implementation and maintenance of software and systems to support HIM operations.

  • Ensure workplace safety for staff and students by implementing safety policies and essential service plans.

  • Contribute to quality improvement initiatives, monitor quality indicators, and plan efficient use of space and equipment.

  • Participate in committees, represent the Regional Manager as needed, and stay current on industry developments.

  • Perform other duties as assigned.
