Summary

Are you passionate about substance use research, education and care, and are you experienced in providing administrative and invoice management support to both leadership and teams? The British Columbia Centre on Substance Use (BCCSU) is seeking a Project Coordinator 2 to join our team and help coordinate webinars and conferences, invoice processing, as well as various administrative and education dissemination functions.
As a research centre of the Providence Health Care Research Institute and a University of British Columbia Faculty of Medicine Centre, the BCCSU is at the forefront of substance use research, education, and care. We are committed to advancing substance use policies and care in BC by translating research into education and evidence-based care guidance. By supporting the collaborative development of evidence-based policies, guidelines and standards, BCCSU seeks to improve the integration of best practices and care across the continuum of substance use.  

In this role, you will report to the Program Manager of Education and Implementation, and your responsibilities will include:  

  • Providing operational, invoice processing and administrative support to the Principal Investigator(s), Program/Project Manager(s) and other project staff as assigned in the development and operational implementation of assigned projects and initiatives
  • Coordinating and attending webinars, seminars, exhibits and external conferences, as well as printing and organizing materials; arranging transport, accommodation, and reimbursement; collecting data, collecting information and providing additional resources
  • Managing email inquiries, responding to inquiries and triaging requests to appropriate BCCSU staff/teams 

The coordination of various education team initiatives requires meaningful and respectful collaboration between internal and external working groups as well as hybrid-remote work. Please be advised that this work will require some travel to external conferences, seminars, and exhibits on the lower mainland and within the province on an ad-hoc basis.

What You Bring: 

  • Experience with managing administrative, operational, and invoice management processes
  • Knowledge of harm reduction and substance use care and treatment
  • Strong communication and relationship-building skills
  • Robust computer literacy and technical skills in the areas of: MS Office, as well as Teams, and Zoom as meeting and webinar-hosting platforms
  • Strong organizational skills, with the ability to manage priorities, meet deadlines, and work both independently and collaboratively as part of a team
  • Familiarity with Indigenous Cultural Safety and Humility would be a strong asset

What You Bring

Education:

  • Bachelor's Degree in Health or Social Sciences, Public Health, Public Policy or related field

Experience:

  • Minimum of two (2) years recent, related experience in project coordination or an equivalent combination of education, training, and experience
  • Knowledge and/or experience working in substance use, addiction, public health, health services, HIV and hepatitis areas are an asset
  • Experience working within a large, complex organzation is an asset
  • Experience in coordinating projects and/or grant-based programs are an asset. Experience in preparing documents, reports, and communication materials. Experience with knowledge translation and ability to convey both research and evaluation findings and medical concepts to a range of audiences is an asset

  • Excellent time management skills including the ability to prioritize work and meet deadlines
  • Ability to work collaboratively with other team members and ability to work independently with minimal supervision
  • Ability to communicate effectively both verbally and in writing
  • Excellent interpersonal skills and ability to work collaboratively with individuals at all levels internally and externally
  • Ability to manage multiple competing priorities and projects simultaneously in a fast-paced environment under deadlines
  • Demonstrated knowledge and understanding of and sensitivity to diversity issues
  • Computer literacy including experience in Microsoft Office suite (Word, Excel, PowerPoint) and reference management software

Your Day to Day:

  • Provides operational and administrative support to the Principal Investigator(s), Project Manager and other project staff as assigned in the development and operational implementation of assigned projects and initiatives. Acts as a resource to project team and staff, including developing project actions, providing support, monitoring deliverables, and maintaining project timelines.
  • Track project progress according to project plan, monitor and report on the status of projects and major issues/obstacles encountered. In collaboration with the Principle Investigator(s) or Project Manager as applicable, identify and support resolution to problems or barriers for successful research projects/change initiatives completion.
  • Prepares reporting materials, including written reports, briefing documents, and presentations utilizing word processing, excel spreadsheet and graphics software for meetings/seminars. Ensures materials, handouts, videos and other supplies for meetings/seminars are complete and available.
  • Maintain an understanding of the project schedule(s), deliverables, and commitments as set out in project charters and other work plans. Execute project plan according to project methodologies, ensuring the successful and coordinated completion of project components.
  • Communicate project status and contribute to positive working relationships with a diverse set of stakeholders, including regional and national government officials, healthcare providers, and people who use substances.
  • Monitors period, quarterly, mid-year and year-end budget expenditures and reports variances. Gathers and summarizes financial information related to assigned projects for submission to the Principal Investigator(s) and/or Project Manager and/or funder(s).
  • May assist in the development of knowledge translation materials and effective strategies for dissemination of promotional materials.
  • Plan and manage logistics for meetings, ranging from small team meetings to large stakeholder meetings, which may include coordination of catering, facilities, preparation and delivery of materials and presentations, producing meeting agendas, minutes, and summaries, and follow-up.
  • Coordinates the day-to-day administrative functions for the Principal Investigator(s) which includes organizing activities/initiatives/correspondence including scheduling and prioritizing appointments, preparing/processing expenses and related documentation, maintaining an effective filing system and making required travel arrangements.
  • Assists with the submission of research grants for Investigators including collecting signatures and supporting documentation/ letters, ensuring all materials are uploaded onto the online platforms in a timely manner.
  • Liaises with internal and external agencies as required.
  • Uses discretion and follows established guidelines when working with confidential and sensitive information.
  • Perform other related duties as assigned
